Gantt Chart

Lewis advised us to plan out a gantt chart for the group, of which only me, Isobel and Robert ended up using. The first week was heavily focused on branding and planning the rest of the project.

During that first week I completed all three tasks on time, besides adding the date to the poster because that’s something I accidentally missed. That got corrected on the day that the were printed since Paul, our graphics tutor, spotted it.

Isobel managed to email Anna about the photoshoot and organised it for a suitable date for everyone to attend, which was the 2nd of October since every class was in at some point on Monday due to our timetables.

The week commencing the 25th of September focuses on sponsorship, ticket release and general promotion. Ticket release was delayed by a few days due to there being a fee to upload an event onto Eventbrite, as that wasn’t a problem in previous years and was a new addition. Nonetheless, we eventually uploaded the ticket link as well as the ticket release art post simultaneously. Nic had to manage the ticket page and I posted the announcement and regular Instagram posts as reminders and teasers for what’s to come.

The week starting on the 2nd of October was the least eventful week as I think the majority of what we did in college time was record other bands and rehearse our setlist. Posters were hung up, Paul took my ideas from other bits of art and found a template to print them onto for the wristbands, even though they weren’t used in the end.

Isobel sent out emails to parents of students, staff and potential future students (I think) with Nic’s guidance and I posted videos of bands.

Between the 9th and the 13th, we were very focused on our own setlist but did record the other bands in B25 and posted them. We didn’t end up interviewing students because we decided that just the videos were fine and people likely wouldn’t be happy to be interviewed at last minute with no warning.

For the 16th and 17th, we didn’t have to set up the stage since it was set up by HE students the week prior. I asked Cody to record our band so we could post on Instagram about us and how we had less than 24 hours until the showcase at the time that it was posted. The gig on the 17th turned out well and there weren’t any major problems.

Overall, I think using a gantt chart was really useful to keep track of our tasks and for me it showed me that I don’t have to rush tasks if I can visualise that I have a specific timeframe for stuff.

In future, it would be nice if the two groups (Managament / Production) cooperated and invited the whole group to each others charts or joined to see what people were busy with, instead of wondering about what other people have and haven’t done in case someone is waiting on someone elses task being done.
